Role purpose

This role is responsible for assisting and supporting the People & Culture (P&C) team with administrative tasks and supporting daily operations. The role is also responsible for providing reliable and efficient general administrative support for the P&C team to run effectively and efficiently.

Please note this position is a fixed term contract of 12 months.Main Responsibilities

Core People and culture team:

  • Update and organise headcount reports/lists and prepare personnel change announcements, as needed
  • Support with shipment of onboarding welcome boxes
  • Other administrative work to ensure policies and processes are updated and correct templates used
  • Responsible for keeping the GT Connect site updated with relevant information (milestone page, lists etc)

Culture and collaboration:

  • Supporting the administration of LearnConnect (learning management system, LMS)
  • Support on calls and meetings as and when needed

Administration:

  • Scheduling meetings for Global Head of Learning & Development (L&D) and others in team upon request and capacity
  • Manage diary for Global Head, L&D
  • Expenses and visas for Global Head, L&D
  • Some facilities management as and when needed (physical meeting booking and management, supplies management, etc.)

Learning:

  • Managing the nomination process for Global Milestone Programmes (track registration, lists etc.)
  • Cohort management for ECP cohorts (Send out comms, upload recordings etc.)
  • Managing the CPE support process (creation and distribution of Certificates of Completion and Programme overview document) for milestone programmes
  • Support across global milestone programmes – ALP, ECP, ELP, MAP, SLP (Branding asset creation, report creation, evaluation creation and management, etc.)
  • Scheduling quarterly meetings (L&OD community call etc.)

The role requires some work outside of normal working hours and across other time zones. An ability to work across cultures, with sensitivity and awareness of differing work practices is essential. Happy to talk flexible working.

Person Specification

  • Genuine curiosity in international, cross-cultural working
  • Ability to handle sensitive / confidential information
  • Excellent planning and organisational skills with an ability to multi-task
  • Excellent interpersonal skills and the ability to manage senior stakeholders
  • Ability to work collaboratively (and horizontally) across multiple teams
  • Highest degree of professional standards, diplomatic and strict confidentiality in matters that require discretion
  • Proficient in MSOffice including Word, Excel, PowerPoint and presentation and collaboration software tools (eg. Teams)
  • Good writing and communication skills with high level of attention to detail
  • Willingness and ability to learn
  • Flexible team player who embraces challenges, shows resilience and works proactively
  • Ability to be agile, respond positively to change and contribute with an innovative and global mindset.
  • Strong relationship skills and cultural awareness, the ability to work well with people from different disciplines and cultures.

Experience - essential

  • Experience of working in an international environment

  • Fluent in written and spoken English
